Job Opening: AR/AP Administrative Assistant

What we are looking for in an AR/AP Admin Assistant:

  • QuickBooks - invoicing and posting
  • Strong math, computer skills and proficiency in Microsoft Excel, Word, Outlook
  • Solid organization skills
  • Ability to follow direction and act calm under pressure
  • Ability to multi-task and meet deadlines
  • Must be able to pass a background check

Specific Responsibilities include:

  • Account Payables (receipt, input, and payment of bills in a timely fashion)
  • Accounts Receivables (Enter and apply customer’s payments, process CC payments and weekly invoicing)
  • Reconcile credit card/banking feeds
  • Enter and ensure accuracy of all business expenses
  • Monthly/Quarterly Sales Tax reporting
  • Manage phone system and act as operator
  • Schedule meetings and appointments
  • Organize the office layout and order supplies and office related equipment
  • Maintain the office condition and arrange necessary repairs
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Address employees’ queries regarding office management issues (e.g. stationery, Hardware and travel arrangements) limited. (Most employees arrange their own travel)
  • Assist with HR duties and onboarding process for new hires
  • Making sure company policies comply with State and Government standards (HR)
  • Plan in-house or off-site activities such as parties, celebrations and conferences
  • Creation, documentation, and implementation of office operations and procedures, and some social media
  • Manage Thank You Cards/ appreciation program for customers and vendors
  • Assist sales staff if requested
  • Miscellaneous business research as requested by superiors


  • data entry: 1 year (Preferred)
  • Bookkeeping: 1 year (Preferred)
  • Administrative Assistant: 1 year (Preferred)


  • $15.00-$18.00 per hour, negotiable for the right candidate
